On the front there should not be a caption, title, name or signature 3) All prints must have a title and the members name in capitals on the back and positioned near the top left corner of the mount. Projected images also require a title. 4) An image that has been submitted in one category (print or projected) for one competition cannot be submitted in another category or competition (monthly or OAT). This includes variations on the image such as a monochrome version of a colour image, alternative cropping of the image, ect. 5) Monochrome print means B&W or other toning (e.g. sepia). projected image means photographs shown digitally via electronic means. Digitally manipulated images are acceptable in any category. 6) For Monthly Competitionsa) Prints must be handed in to the Competition Secretary BEFORE THE END OF THE MEETING PRIOR TO THE COMPETITION b) Projected images must be submitted to the Club Secretary at least 3 hours prior to the scheduled meeting start time. This can be done via an email attachment, with file submitted in jpeg format, using the image title as the file name. 7) For OAT Competitionsa) Prints must be handed to the Competition Secretary before the scheduled meeting start time b) Projected images - AS FOR MONTHLY COMPETITIONS - see above Monthly Competitions1) Subjects for these competitions will be decided by the Competition Secretary and at least 2 co-opted club members. All members will be notified of the subjects by 31st March in the preceding year. 2) Subjects for competitions may be freely interpreted by member's submitting entries. 3) Entries must be no more than 2 years old on the 1st January in the year of the competition. 4) There will be 3 categories judged: projected image, colour print and monochrome prints. EACH MEMBER CAN SUBMIT ONLY 1 ENTRY IN EACH CATEGORY. 5) Judging and awarding points will be described below. Outside Activities Trophy1) ALL PHOTOGRAPHS FOR THIS COMPETITION MUST BE TAKEN AT THE LOCATION SPECIFIED, ON THE DATE AND WITHIN THE TIME FRAME STIPULATED BY THE COMMITTEE. 2) Members will be informed of the locations when the programme for the year is circulated. A map showing the exact boundry of the area in which photographs may be taken will be produced by the organising member and made available to all members at least 4 weeks prior to the date foe taking photographs 3) There will be 3 categories judged: projected image, colour prints and monochrome prints. EACH MEMBER CAN SUBMIT UP TO 3 ENTRIES IN EACH CATEGORY. 4) Judging and awarding points will be described below. Judging and awarding points for monthly competitions1) An external judge will be arranged by the committee, usually selected from the EAF judges panel 2) The judge will make comments on each image submitted and then award points, up to a maximum of 20 points. 3) The judge will also be asked to select 1st, 2nd and 3rd in each category, if the marks awarded do not make this possible(e.g. 2 images awarded 20 points). These images will then be posted on the club website by the club secretary. 4) The points awarded by the judge will be recorded by the Competition Secrerary and used to keep a running total of points awarded to each member in each category of each competition. At the end of the year this will be used to determine overall winners in each category for each competition, which will be formally announced at the Annual Presentation Evening. 5) At the end of each competition evening the members will be able to select the best overall image, from the images placed 1st in each category by the judge. This will be done by a show of hands of those paid up members present. The best overall image will be submitted to the Beccles & Bungay Journal for publication Voting, scoring and awarding points for OAT competitions1) Paid up members present will be able to vote for the best 4 images i each section, indicating their choice for 1st, 2nd, 3rd and 4th 2) The Competition Secretary will record a score of 4 for each 1st vote, 3 for each 2nd vote, 2 for each 3rd vote and 1 for each 4th vote. 3) When all votes have been recorded the Competition Secretary will total the scores to determine positions in each category. Points will be awarded as shown below. Position Points First 6 Second 5 Third 4 Forth 3 Fifth 2 All other images ( i.e. those not in the top 5 places) will be awarded 1 point 4) The Competition Secretary will keep a running total of points awarded to each member in each category of each competition. Annual Competition1) There are no themes for this competition and members are free to submit images of any subject of their choice. 2) The competition will be run in six categories a) Annual projected image members can submit up to 3 images b) Annual projected image portfolio members can submit up to 3 portfolios each consisting of 3 images c) Annual colour print members can submit up to 3 prints d) Annual colour print portfolio members can submit up to 3 portfolios each consisting of 3 images e) Annual monochrome print members can submit up to 3 prints f) Annual monochrome print portfolio members can submit up to 3 portfolios each consisting of 3 images 3) Entries must be no more than 2 years old on the 31st August in the year of the competition. 4) ALL ENTRIES MUST BE CLEARLY LABELLED WITH A TITLE, THE MEMBER'S NAME AND THE CATEGORY FOR WHICH THE IMAGE IS ENTERED (e.g. colour portfolio 2- print 3) Entries must be submitted to the Competition Secretary by the specified closing date, usually at least 6 weeks prior to the competition date. Portfolios may be submitted as 3 prints mounted separately or as 3 prints mounted as a single panel. 5) An external judge will be appointed by the committee to select 1st and 2nd in each category. The judge may also Highly Commend some entries. The results will be announced at the Annual Presentation Evening. Bungay Camera Club Constitution1. NameThe name of the club shall be the "Bungay Camera Club" referred to in the rules as "The Club".2. Objectives And Mission StatementThe objectives of the Club shall be the advancement of its members' skills, enjoyment, knowledge and interest in still photography through a varied programme of regular meetings, competitions and presentations.3. Membershipa. Membership shall be open to all persons over the age of 16 upon payment of the appropriate subscription. Approval of the Committee shall not be required.b. Should any person under the age of 16 wish to become a member or attend an event organised by the club he/she will be required to bring and adult chaperone of their choice who must be present throughout the meeting or event. The chaperone is not a club member (unless already a club member in their own right) does not pay a subscription and has no voting rights.c. Honorary Life Membership may be conferred upon any member whose service and contribution to the life and well-being of the club are considered to be wholly exceptional. Proposals for the honouring of such a member shall be first considered by the Committee and then submitted to the membership at the AGM. Determination shall be by a simple majority of those present and voting at the meeting, subject to the necessary quorum numbers being met as set out in paragraph 13.d. The Committee has the power to terminate the membership of any member in circumstances which they decide justifies such action. In the event of termination of membership the Committee may agree a discretionary refund of all or part of any membership subscripiton paid for the year in question.4. Equal OpportunitiesThe Club requires that no person whether a member, potential member or visitor to the Club shall be discriminated against on the grounds or race, colour, nationality, culture, religion, gender, marital status, class, sexual orientation, age, size, ability or any other condition which cannot be justified for the reasons of the safe and effective running of the Club.All Club members have a responsibility to oppose discriminatory behaviour and promote equality of opportunity.5. Management Of The ClubThe Committeea. The affairs of the Club shall be managed by a committee comprising the Chairperson, Vice-Chair, Secretary, Treasurer, Competitions Secretary, Publicity Officer and 3 other members.b. Five persons, one of whom shall be the Chairperson, Vice-Chair or secretary, shall consitite a quorum.c. The committee shall meet as often as is considered necessary for the proper management of the Club's affairs. Any questions arising at such a meeting shall be determined by a majority of votes. In case of equality of votes, the Chairperson of the meeting shall have a second vote.d. The Chairperson , or if he not be present the Vice-Chair, shall be the Chairperson of every meeting. If neither be present the members of the Committee present at the meeting shall choose a Chairperson for that meeting from those members is present.e. In the absence of the Secretary, the members of the Committee present at the meeting shall choose a Secretary for that meeting from those members present.f. The Committee shall have the power to co-opt a member, or members, of the Club for a specifically defined purpose. The membership of such co-opted member(s) shall cease upon completion of the specified purpose.g. The Committee shall have the power to co-opt a member to membership of the Committee to fill a casual vacancy. Such member will retain his membership of the Committee until the next Annual General Meeting (AGM).h. The Committee shall ensure that adequate Public Liability Insurance is purchased to protect the Club, its Committee and its Members.i. The Committee shall have power to approve expenditure up to £300 on any one item or £500 any one year.j. For proposed expenditure in excess of £300 on any one item or £500 in any one year the matter shall be put to anAGM or an Extraordinary General Meeting (EGM) shall be called in accordance witht he procedures set out in paragraph 12 of these rules.k. Before each AGM the Committee shall consider the financial position of the club and formulate proposals for the rates of membership subscriptions for the following year. Such proposals shall be submitted for the approval of the membership at the AGM.l. The Committee shall have the authority of the Club to maintain accounts in the name of the Club with a bank or a building society.m. The Committee are authorised by the club to operate the accounts they hold against any two signatures.n. The Committee are authorised to set up and administer an internet website in the name of the club to promote the activities, interests and wellbeing of the club and to provide a service to members by way of links to other reputable sites. The Committee and the Webmaster who administers the site have authority to decide its content and format.6. Management Of The Club - The SecretaryThe secretary shall:a. Receive and bring to the attention of the Committee all matters required to be considered by them.b. Convene the Annual Gerneral Meeting (AGM) and any EGM of the Club.c. Receive nominations, motions or proposals intended for consideration at the AGM or any EGM.d. Prepare Agendas for all Committee meetings, the AGM and any EGM members.e. Record the proceedings and decisions of the Committee and of every AGM or EGM.7. Management Of The Club - The TreasurerThe Treasurer shall:a. Collect all sums properly due to the Club and make all payments properly due by the Club.b. Maintain adequate books of account and records which will show at any time the financial position of the Club and its assets and liabilities.c. Operate the Clus's accounts with the bank or building society in accordance with the mandates given to the account holders.d. Ensure that funds not immediately required are deployed to the Club's best advantage.e. Arrange for the books, records and vouchers to be made available to the Auditor.f. Prepare annually an income and ependiture account and a balance sheet and shall present these at the AGM for the apporval of members. Such accounts and balance sheet shall include tereon the report of the auditor.8. Financial YearThe financial year shall end on the last day of October.9. Subscriptionsa. The rate of subscription shall be determined annually at the AGM by a vote of members present.b. Subscriptions shall be payable on the first meeting in January each year.c. New members joining the Club after Novemeber in any year shall pay a pro rate subscription assessed by the Treasurer.d. Members not having paid their subscriptions by the end of March or within 3 months of joining the Club will cease to be members.10. Notice Of Meetingsa. For the Annual General Meeting the inclusion of the date in the annual printed programme and promulgation at ordinary club meeting one month prior shall be sufficient notice.b. For any Extraordinary Gerneal Meeting the notice shall be given to all members in writing which can include personal delivery, Royal Mail or E-Mail.11. Annual General Meeting (AGM)a. The AGM shall be held no later than 31st December each year.b. Motions for inclusion on the Agenda shall be notified to the Secretary in writing, not less than 211 days before the date of the meeting.c. Nominations for election to the committee shall be notified to the Secretary in writing not less than 21 days before the meeting andshall include the names of the proposer and seconder and should incorporate a statement that the nominee has given his consent to the nomination.d. In the event of their being vacant positions without prior nominated candidates, nominations from the meeting on the night may be accepted providing there is general consensus and the individuals concerned are present and agree. Written nominations take precedence.e. The agenda for each AGM shall provide for a report on the workings of the Committee, presentation of the Annual Accounts and the report of the Auditor theron, proposing the rate of annual subscription, election of Committee Members, appointment of Auditor and a statement of motions received.f. Discussion of matters not included within the agenda may take place at the discretion of the Chairperson of the meeting but no vote may be taken on such matters.12. Extraordinary General Meetings (EGM)a. An EGM of members of the Club may be convened at any time by the Committee giving at least 21 days notice. Such notice must state the purpose for which the EGM is called and include any formal motions to be put to the meeting.b. An EGM shall be convened within 21 days if the Secretary receives a written request for such a meeting from the members. Such request must state the purpose for which the EGM is called, include any formal motions to be put to the meeting and be signed by not less than one third of club members. The notice convening the EGM shall specify the nature of the business to be transacted and any such business shall be transacted thereat.13. Provisions For Annual And Extraordinary General Meetingsa. The Chairperson, or if he not be present the Vice-Chair, or if he not be present a member of the Committee nominated for the purpose by the Committee shal lbe the Chairperson of every AGM or EGM of members.b. At any General Meeting one third of the membership constitute a quorum.c. In the event that a vote is required at any general meeting each member present shall have one vote. In case of equality of votes the Chairperson of the meeting shall have a second vote.14. Auditora. An Auditor shall be appointed at each AGM, who shall hold office until the next AGM.b. The Auditor shall have access to all accounting books, records and vouchers of the Clus and shall be entitled to seek all the information and explanations which he needs in order to express a view on the accounts as prepared by the Treasurer. The report of the Auditor shall be addressed to the members and shall appear on the accounts presented to the AGM.15. Dissolution Of The Cluba. If the Committee by a simple majority decides at any time that it is necessary or advisable to dissolve the Club it shall call a meeting of all its members following the procedures laid down for an EGM. The purpose of the meeting shall be stated and not less than 21 days notice shall be given. A two thirds majority of those present and voting shall be required for a dissolution resolution to be passed. The Committee shall have the responsibility for disposing of any assets of the club.b. After the collections of all dues in favour of the Club and satisfaction of all the Club's liabilities, any funds remaining shall be given or transferred to the East Anglian Federation or any successor body thereto.16. Competition RulesThe club shall have a seperate set of competition rules governing all competitions run within the club. These competition rules form part of the General Rules of the Club and are administered by the Committee. Any new rules or amendment to existing rules may only be introduced through an AGM or EGM following the correct AGM or EGM procedures.17. Amendments To The Club RulesThe rules of the club may be amended only at an AGM or EGM providing prior notice of the proposed changes have been given in accordance with the rules and timescales of those meetings.18. Ownership of image copyrightBy the act of submitting images for inclusion fon the Club website or in Competitions run by the club or which the Club supports the members are confirming their ownership of the Copyright of such material. Ownership of the Copyright remains with the submitting author.The club accepts no liability for the infringement of copyright caused by a member knowingly or otherwise submitting for publication or competition an image for which he does not own the copyright. Any such liability rests solely with the member concerned.19. Generala. All members of the club shall be entitled to a copy of the rules without charge.b. Wording within these rules importing the masculine gender shall be construed as including the feminine equally. |
